Tasks by Job Function

RICOH IA supports different job functions that are based on an assigned role. What you see in the user interface depends entirely on the access level(s) that have been assigned to your user account. Use the table below to help you determine the tasks that you can complete in RICOH IA and the order in which they need to be accomplished.
Depending on your company, the tasks assigned to an access level may differ from what is shown below. In fact, if it is possible to combine access roles, this will simplify the overall configuration process greatly. Proceed accordingly.

- Setup the Tenancy: Determine if Single-Sign-On or Multi-Factor authentication is enforced, set the frequency of completed batch removal from the database, and Setup Batch Failure Alerts.

Manage User Groups: Group user accounts that can be assigned to specific Batch Types.

Manage User Accounts: Add accounts manually or import accounts. At a minimum, the Administrator should create an account for a User Manager with User Management access level assigned. It is also necessary to assign a design AI Model Create access to start the modeling process.

Configure a Database: Configure a database to enable business rules that can check against data, store new data, or update existing data.

Setup an Integration: Create one or more integrations that can be used by the Designer to connect to downstream document storage locations. For example, the batch designer may need to integrate with Azure AI, Natif AI, Microsoft OneDrive, SFTP or Outlook (to name only a few systems) and it is typically the Admin's job to set up these integrations.

- Create a Scan Profile: Pre-define scan settings such as scan resolution, single vs. duplex, color profile, and image enhancement options. Operators can choose a profile rather than set scan settings each time, OR the Designer can assign a Scan Profile to a particular Batch Type to ensure only that profile is used for the batch.

Create a Separation Profile: Pre-define the Separation Settings that will be assigned to a Batch Type. Separation types can be Manual, Barcode or Patch Code Separation, Page Count Separation, or AI Separation.

Create Global Variables: Create variables that can be used throughout RICOH IA.

Add an AI Model to the Library: Configure Natif AI or Azure AI models that can be used for Data Extraction, Document Separation and / or Document Classification.

Design a Process Flow: Determine the flow of the document though the system.

Create a New Batch Type: Once all tasks above for the Designer are complete, they can proceed to create a new batch type that Operators will then use to process batches.
